Junior Program Analyst (Logistics, Admin & Training)



 

McKean is currently seeking a Program Analyst (Logistics, Admin & Training) to directly support US Navy programs.  Qualified candidate will be responsible for performance of logistics, administrative and training support tasks to include office clerical support; project and meeting support; training admin support and documentation; preparing periodic status reports and creating PowerPoint presentations.

 

Logistics Support:

Provide admin support relating to 3M documentation (Maintenance and Material Management)

Provide admin support to track submission of PMS reports and responses

Provide admin support to maintain a PMS library

Support various meetings and conferences.

 

Administrative Support:
Provide admin support to track Plans of Actions and Milestones (POA&Ms) in support of major evolutions.  Provide admin support for scheduling milestones and preparing weekly program reviews.

Provide admin support to create and maintain program Schedule of Events (SOEs)

Support preparation of task spreadsheets for tracking of internal responsibilities and due dates. 

Support various program meetings, capturing and distributing meeting agendas, meeting minutes and action items.  Provide meeting materials and production of meeting presentation books, CDs, nameplates, etc.

Provide admin support to collect, revise and promulgate weekly status inputs.

Prepare letters and various other personnel documents, using Microsoft Office Suite products.

Perform clerical services such as typing, filing, logging, scanning, copying, faxing, archiving,

researching, mail sorting/delivery and shredding.

Process documents (finalize draft, gather signatures, make copies, and distribute)

Perform timekeeping duties. Provide telephone and office receptionist services.

Assist in preparing travel requests through the Defense Travel System (DTS) application.

Perform clerical and administrative functions consistent with security requirements including

processing visit requests, incoming classified mail, accompanying visitors, and destruction of

classified material, Operation Security (OPSEC). 

 

Financial Support:
Provide admin support for financial spreadsheets for task leads/program managers.  Support includes printing, copying and distributing OPTAR, TADTAR, program funding charts, monthly expenditure charts and cost variance charts tracking financials, current and future spending.

 

Presentation Support:
Provide admin support for PowerPoint presentations support to assist compiling program data and capturing program overviews, highlights, lowlights and objectives, as well as program matrix, financial and organizational charts.  

 

Technical Documentation Support:
Provide admin support for the production, editing and reformatting of Navy written policy and guidance, such as Instructions, Manuals, pamphlets and Process Maps.  This support also includes converting tech manual PDFs into editable Word documents.  Documentation comparisons are also performed to record discrepancies and differences. 

 

Training Scheduling and Management Support:

Provide admin support for managing training courses, maintain list of requested training and training requirements. Prepare for training, including set-up, attendance, scheduling and

announcing various training events.

Provide support to update training completions electronically in various databases including Navy Enterprise Resource Planning (ERP) and Total Workforce Management System (TWMS).

Provide admin support to update weekly training program reviews.

Provide support to assist with Defense Civilian Personnel Data System (DCPDS) uploads.

Support efforts to collect, document and file training material.

Provide administrative support for training data calls, training analysis and special studies.

 

Proficiency MS Office Suite including MS Project and Access Required Skills:

 

Excellent verbal and written communications skills

Organized and detail oriented

 

Required Experience

Candidate must have a minimum of 1-4 years’ experience in the following areas:

Administrative and management clerical support.

Coordination of meetings including minute taking and capturing action items.

Status gathering and reporting of financials including budgets.

Familiarity of DTS and DoD travel regulations .

Presentation development and support.

Navy Fleet experience areas as SUBMEPP Admin Support and/or Navy Admin (Petty Officer Level PS or YN) a plus.

Must have the ability to acquire and maintain a security clearance.

 

 

Job Location

These positions are located in various Fleet concentration areas including Portsmouth NH, San Diego CA, Norfolk VA, etc.

Limited travel may be required, approximately 20% and may include passport travel to Guam/Singapore.
